How to write a job application letter in Uganda (with sample)

The layout Ugandan employers expect, what to put in each paragraph, and a sample application letter you can adapt for your own job.

By the cvmakerr team3 min read

Many job adverts in Uganda ask for an application letter, sometimes called a cover letter, sent together with your CV and copies of your documents. The letter is often the first thing a panel reads. A good one is short, addressed to the right person, names the exact job, and gives two or three reasons you fit, in the advert’s own words.

The layout

  1. 1Your name, address or P.O. Box, phone and email at the top.
  2. 2The date, written in full (for example 27 October 2026).
  3. 3The recipient’s title and address, exactly as given in the advert (for example The Human Resource Manager, followed by the organisation and its address).
  4. 4A greeting: “Dear Sir/Madam”, or the person’s name if the advert gives it.
  5. 5A subject line in capitals: “RE: APPLICATION FOR THE POST OF …”, with any reference number.
  6. 6Three or four short paragraphs.
  7. 7A closing: “Yours faithfully” after “Dear Sir/Madam”, or “Yours sincerely” after a name, then your signature and full name.

What to say in each paragraph

  • Opening: the job you are applying for, where you saw it and the reference number.
  • Why you fit: your qualification and the experience that matches the main requirements, with one result.
  • What else you bring: one or two more skills from the advert, backed by something real.
  • Close: that your CV and documents are attached, that you are available for interview, and how to reach you.

Dear Sir/Madam,

RE: APPLICATION FOR THE POST OF ACCOUNTS ASSISTANT (REF: ABC/FIN/2026/04)

I am writing to apply for the post of Accounts Assistant advertised on BrighterMonday on 20 October 2026. I hold a Bachelor of Commerce (Accounting) from Makerere University and have passed CPA Uganda Level 1.

For the past two years I have worked as an accounts clerk at XYZ Hardware, where I reconcile three bank accounts each month, process supplier payments and prepare monthly VAT and PAYE returns for review. Last year I cut the time to close each month from eight days to five by setting up a simple reconciliation template in Excel.

Your advert asks for experience with QuickBooks and EFRIS. I use both every day, and I have trained two colleagues to raise EFRIS receipts correctly.

My CV and copies of my academic documents are attached. I would welcome the chance to discuss how I can support your finance team, and I am available for interview at any time on 0772 000 000.

Yours faithfully,

(Signature) Sarah Nakato

Tips that make a difference

  • Keep it to one page.
  • Write a new letter for each job; at least change the paragraphs about why you fit.
  • Use the advert’s words for the skills you really have.
  • Don’t repeat your whole CV. Pick the two or three strongest points.
  • Check the name of the organisation, the job title and the reference number twice.
  • If you email it, put the job title and reference in the subject line and attach the letter and CV as PDFs.

Common mistakes

  • Opening with “I humbly request…” and saying nothing about the job.
  • Addressing it to the wrong organisation after copying an old letter.
  • Long life stories or reasons you need the job.
  • Promising skills your CV doesn’t show.
